Summary

Summary

Apart from the three chapters that I have learned during the class by Dr Nur that is on the HRIS System Architecture, Employee Self Service and also Online Induction Program it have taught me that the advance of the technology really gives a great advantages and also a large of benefits to each of the organizations. Besides, by having a technology it will also helps an organization ti runs their work effectively, efficient and also smooth. Moreover, by using the technology it would help to reduce the use of employee in certain job or task and it could also helps to reduce the use of cost and expenses. 
          All of this benefits and advantages we could get by using the online induction program, Employee Self Service Program and more. The usage of technology can also be seen as user friendly to the employee. In my opinion, after I have learned about all of this technology and system involve in the organization. It makes me more excited to know about the system and I hope that I would get the chances to used the software while working after I have graduated from the University.In sum, it is important for an organization to keep on improving the system that they are using in their organization and it is also to compete with their competitors.

Online Induction Program : Formal vs Non Formal

What is an Online Induction Program?

During the past few weeks’ class, Dr Nur has taught us about the online induction program. According to Kelly Rainer (2007), online induction system is an online employee induction system which is easily manage and reporting of the induction process of new employees to expose new employee in their new environment organizations and promotion requirement. Based on my opinion, before this most of the induction program in an organization is done by manual and formal.For example, after the organization have hired a new staff in their organization. They will do an orientation program that is also called as an induction program. The program normally will be done for 2 to 3 days. The purpose of the program is to introduce and to welcome the new staff to the organization. It is to introduce them about the organization mission, vision, history, product and services and so on. This process on induction program can be considered as a traditional method been used.
       But due to the advance of the technology, most of the organization starts to use online induction program in their company. By using this method it is more easier and friendly user to the employee. The employers realize that their employees are more comfortable with a non formal induction program. To implement a non formal induction program, the organiztaion has decided to use the online induction program. By using the online induction program, the employee may surf the program by themselves and learn about the company by themselves. For examples, the employee could get information about the company by viewing the website.Moreover; employees do no need to go through any bureau just to get the contacts of some employees. Besides, the courses provided by the organization to the employee in the induction could be done and arrange by the employee themselves. It will be easier for the employees.
              There are also disadvantages that we can get through the online induction program. Such as, there will be technological complications which mean it will be a problem for the employees who do not know how to use the system and as a result it will require the use of manual reference. Besides, to implement the online induction program in an organization is also expensive for a small organization. For an organization to use a new technology or software is actually a big investment for them and involve the use of a lot money.

Web-Based Employee Self Service

Web-Based Employee Self Service 

After Dr Nur class, I have clearly understands what is Human Resource Self-service or Web-Based Employee Self-service. It is actually a web-based application that an employees and managers use to obtain information, conducting a transaction, and essentially shortcut processes that previously required multiple steps, paperwork, the involvement of HR staffers and all the delays.By using the ESS systems, provides employees with access to their personal records and their payroll details. 

The examples of ESS systems used :-



By using ESS systems, it provides a few advantages to the employees and an organizations, such as :-

1.      Review Personal Data
By using ESS systems, it allows employees to access their personal records at any time; workers can review their data at home or at work. It also allows the employees to change their own address, contact details and next of kin. Besides, the workers can make a variety of changes to their personal records from the privacy of their workspace.

2.      Cost & Time Savings
By using ESS systems, it may save employers money because they require fewer people involve in making the changes made by the employee. This allows the employers to spend more time working on the other important task. It also allow employees to make changes to their records in anytime that they want to, it takes less than five minutes to make most of the changes.As a result, it will also makes it easy for human resource professionals to run reports on employee records.
  
3.      Eliminates Confusion
Since employees go into self-service tools directly, there is no need for the employees to email or make a telephone call in order to make any changes that they want made to their personal records to their employers. The fewer people who access the information to make changes, it will decrease the errors that will be made to the records. This eliminates confusion and increases employee record accuracy rates.
In my opinion, it is better for an organization to implement the ESS systems in their organization. It is because the ESS systems brings a lot of benefits to the company.

             In sum, from the lesson that I’ve learned with Dr Nur I have understand that ESS systems helps an employee and a manager to simplify their work. Such as employee will be able to directly view and update personal data at any time from any place that has access to the network, whenever it is convenient for them. Besides, for a manager it will be easier for them to keep in touch with their staff regarding with their training needs, leave activities, payroll data and it will be easier for the manager to do some checking and correction on their employee’s information.

HRIS SYSTEM ARCHITECTURE : Single Integrated Model

HRIS SYSTEM ARCHITECTURE

     According to Beaman, Karen V (2004), there are three basic systems architecture commonly found in HRIS and each of the system play a different role for an organization. They are Standalone System Model, Data Warehouse Model, and Single Integrated System Model.  

            But the most HRIS model that I was really interested with is The Single Integrated Model. According to Dr Nur, this was the system architecture that is the most advanced. By using this model, there are many advantages that an organization could get, such as there is no need for a saparate reporting database because everything was linkage between each other (networking). Eventhough that there is some other organization that rather chooses for another system in order to saparate transaction processing. Moreover, the other advantages that we can get by using this model are using the same screens worldwide, with appropriate changes for different languages in different countries.

            Most company that will be using the Single-Integrated model is the Global and Transnational HRIS Company. In my opinion by referring to F.Warren McFarlan, and Brian J.Delacey (2004), Otis Elevator is one of the companies that use this model because they had more that 150 companies and at the same time, Otis needed to move from regionally driven product strategy to a global one. Otis was the larger manufacturer, installer, and services of elevators, escalators and moving walkways in the world. The companies of Otis Elevator operations were organized into seven regional businesses which are from North and South Africa, South Europe and Middle East, North and East Europe, the United Kingdom and Central Europe, North Asia, South Asia, and Japan.  Besides, all of their engineering centers were reorganized to report centrally to a worldwide engineering function. If the reports that are receive from a different region, it will consist of different language. By using the Single-Integrated model system, it could simplify the process, because even the language is different. By using the system it could translate the language that they receive from the other region.This could be consider as one of the advantages of using this system.  This is the reason why they need to use single-integrated model.  It is the same with the airline company that typically use them for a flight operation.
